Smart bin systems compared: four ways to automate parts bins.

Most smart bin systems fall into one of four business models. The hardware can look similar. What differs is who you buy parts from, what you pay for, and who holds the data.

Quick answer

There are four main types of smart bin system: bins supplied by a parts distributor as part of a supply contract, subscription software platforms with sensor bins, industrial vending machines, and independent weighing systems you run yourself. The right one depends on whether you want to keep choosing your own suppliers, and what you need to control.

What are the four types of smart bin system?

Type 1

Distributor-supplied smart bins

A parts distributor installs weighing, RFID or camera bins at your site. When stock drops, the system reorders from that distributor. The hardware is usually part of the supply agreement.

Type 2

Subscription sensor platforms

A software company charges a monthly fee per site or stockroom, with sensor bins sold as hardware on top. Supplier-neutral, but check where support is based and what happens to the hardware if you stop paying.

Type 3

Industrial vending machines

Locked machines that dispense PPE, tools and consumables to authorised users. Strong control over who takes what, but each machine holds a limited number of items and needs floor space.

Type 4

Independent weighing bins

A scale under each of your existing bins counts parts by weight and reports to an app. Not tied to a parts supplier: you see the stock and reorder from whoever you choose. This is how Maxi Bin works.

Same automation, without the supply contract.

Maxi Bin counts your stock and shows it in the StockMonitor app. Who replenishes each bin stays your decision, and changing suppliers changes nothing on the shelf.

Which smart bin system is right for you?

Choose distributor-supplied if…

You are happy to buy most of your C-parts from one distributor and want them to manage replenishment end to end.

Choose vending if…

You need to control and record who takes each item, such as PPE, cutting tools or batteries.

Choose independent weighing bins if…

You buy from several suppliers, stock parts you make yourself, or want your stock data to stay with you.

Frequently asked questions

Do smart bins lock me into one parts supplier?

Some do. Many smart bin programs are run by parts distributors, and the bins reorder from that distributor. An independent system like Maxi Bin reports stock levels to you, and you reorder from any supplier you choose.

What is the difference between a smart bin and an industrial vending machine?

A vending machine locks items away and records who took each one. A smart bin sits on an open shelf and tracks how much stock is left. Vending suits controlled items such as PPE and tools; smart bins suit high-volume small parts.

Can I use more than one type of system?

Yes. Many sites use a vending machine for PPE and tools and open weighing bins for fasteners, fittings and electrical parts.

Are smart bins available in Australia?

Yes. Maxi Bin Solutions designs and makes weighing smart bins in Australia, and several international parts distributors run smart bin programs here as part of their supply contracts.
